Use To-dos
Capture, schedule, and complete To-dos, set reminders and repeats, share Lists, and track what is assigned to you across teams.
A To-do is something Magpie is responsible for bringing back to your attention. It is different from a Note (information you want to keep), a checkbox inside a Note (a lightweight marker in a document), a Kanban card (work moving through a process), and a Calendar event (something happening at a time).
Every To-do belongs to a team - your Personal team for ordinary personal To-dos, or a shared team when you want a To-do to be part of that team's work. Adding a To-do while working personally puts it in your Personal team automatically; you do not need to choose a team to jot something down.
Capture
Type a title into Add a To-do and press Enter. That is enough - everything else is optional. A newly captured To-do that has not been scheduled or moved to a List appears in Inbox until you organize it.
Magpie recognizes common dates and repeats in the title itself, without sending anything to an AI service:
- "Buy printer ink tomorrow" schedules it for tomorrow.
- "Call dentist Friday" schedules it for the coming Friday.
- "Take bins out every Thursday" sets up a weekly repeat.
- "Submit report next Monday at 9am" sets a date and a time.
The words Magpie understood are removed from the title and turned into the To-do's When date, time, or repeat, so you can see exactly what was understood and change it afterward.
Smart views
- Inbox - newly captured, not yet organized.
- Today - To-dos scheduled for today, plus anything overdue.
- Upcoming - To-dos scheduled for a future date, grouped by date.
- Anytime - organized into a List but with no specific date.
- Someday - things you want to remember without them cluttering your active lists. Someday is a deliberate choice, not just "no date".
- Completed - your completion history.
When and Deadline
When is when you plan to work on something. Deadline is when it is actually due. They are independent: set one, both, or neither. Magpie starts showing a To-do in Today from its When date. Its Deadline stays visible and does not move just because you snooze a reminder.
Reminders and snooze
Set a reminder for a specific time, a period before the scheduled time, or a period before the Deadline. Reminders are delivered by email. Completing a To-do cancels its pending reminder. Snoozing changes when Magpie reminds you again - it never changes the Deadline.
Recurring To-dos
A repeating To-do (like "every Thursday") keeps its own history: completing this week's occurrence does not erase last week's, and the next occurrence is scheduled as soon as you complete the current one. Completing it twice in a row - for example after a slow connection retries the request - does not create two upcoming occurrences.
Lists
A List is a lightweight way to group related To-dos, such as "Home" or "Tournament Preparation". Lists do not have phases, statuses, or milestones - if you need those, a To-do List is not the right tool.
From Lists, share a List with a specific person by their username. That person can work on To-dos in that List without becoming a member of the owning team, and without seeing anything else that belongs to the team.
Team To-dos and assignment
Inside a team, a To-do can be assigned to one person. You can only assign a To-do to someone who already has access to it, either through team membership or through a List they were directly shared into.
My To-dos
My To-dos brings together your Personal To-dos, To-dos assigned to you in any team, and To-dos in Lists shared with you directly - all in one place, so you do not need to visit each team separately to see what you need to do today. Each item shows which team it belongs to; it still lives in that team's records.
Calendar
Scheduled To-dos appear on Calendar at their When date. Deadlines appear separately at their Deadline date, so planned work and due dates are not treated as the same thing. See Use Calendar.
Checklists, tags, and bulk actions
Open a To-do to add a short checklist for its own subordinate steps. A checklist item is not a To-do on its own; convert one to a full To-do if it needs its own date, reminder, or assignee.
Tags are optional labels for your own cross-cutting organization - things like "phone" or "waiting". They do not appear anywhere unless you add one.
Select several To-dos to complete, move to a List, mark Someday, or delete them together.
Creating a To-do from somewhere else
A Contact, a Kanban card, or a checkbox in a Note can each start a To-do that links back to where it came from. The new To-do opens in To-dos with its title already filled in - nothing is created until you confirm it.
